Manage Panel Membership

Manage Panel Membership

Overview

Your panelists in the Panelists library must be members of at least one panel. In this workflow you will learn how to manage all aspects of panel membership.

Before you can change panel membership for panelists, the panels and subpanels in which you wish to add, include or move your panelists need to exist first. We will refer to subpanels as panels unless specifically necessary to use the term subpanel .

There is a difference between the actions below. Please read these definitions to get familiar with terminology and meaning behind it.
  1. Adding to a panel - Generally, this refers to importing or manually adding brand new panelists that currently do not exist in the Panelists library. Since the focus of this workflow is on modifying panel membership for existing panelists, please follow corresponding workflow links for importing and manually adding new panelists .

  2. Including in a panel - This refers to modifying panel membership for panelists that already exist in the Panelists library by including them to an additional panel.

  3. Moving to a panel - This refers to removing panelists from one panel and moving them to another panel.

If your objective is to include in, or move to a panel the panelists that already exist in other panels in your Panelists library, outlined in this workflow are different ways of finding such panelists and performing appropriate tasks.

Search Across Panels and Include Selected Panelists in Another Panel

These steps are useful when you have information to search by (e.g. location, gender, dietary habits, etc.) and the panelists you are looking for are members of different panels, or you are not entirely sure which other panel(s) your panelists are members of.

Upon completion of the below steps, selected panelists will have an additional panel membership without losing any of the existing panel memberships.
  1. In the search results, select the panelists that met your search criteria and click Add/move/remove > Include in another panel.

  2. Choose the panel you wish to include the selected panelists into and click Add panelists.

Search Within a Specific Panel and Move Selected Panelists to Another Panel

These steps are useful when you know in advance which panel your panelists are already members of and you do not want them in that panel anymore.

Upon completion of the below steps, the panel membership for selected panelists will change from one panel to another panel.
  1. In the list of panelists, select the panelists that your were looking for.

If you do not see all your panelists on the right side of the screen, adjust how many panelists are shown per page, or use the page navigation buttons at the bottom of the list to locate the desired panelists.

You can always use the Filter feature to assist you in your search.

  2. Click Add/move/remove > Move to another panel .

  3. Choose the panel you wish to move the selected panelists into and click Add panelists.

The selected panelists will no longer be members of the panel that you selected in the step 1, and will instead gain membership to the panel you select in the step 4. The panelists still might be a part of other panels.
The total number of panelists in the selected panel will not reflect the new count until you refresh the page or go to another panel and return to this panel.

These steps are useful when you wish to remove panelists from a specific panel. Removing panelists from a panel will not delete them from the Panelists library.
  1. From the black ribbon at the top, select Libraries > Panelists .

  2. From the list of panels on the left, select the panel you know that the panelists you are looking for are part of.

  3. In the list of panelists, select the panelists that your were looking for.

    1. Those panelists that are members of at least one other panel will continue to be members of that other panel after you remove them from the panel you are currently on.

    2. Those panelists that only exist in the panel you are removing them from will end up in the Unassigned panel. You can always locate them there and move them into a different panel as needed.

  5. Click Remove panelists. A confirmation popup at the bottom of the screen will display.
The total number of panelists in the selected panel will not reflect the new count until you refresh the page or go to another panel and return to this panel.

My Panelist is Missing!

You search for specific panelists, but suddenly you cannot find them although you know they used to be in your Panelists library! Don't worry. If they existed in the Panelists library before, they cannot just vanish.

Try these troubleshooting steps:
  1. Search across panels in the Panelists library.

If you were used to finding your panelists in a specific panel before, and suddenly you can't find them there anymore, it is possible that someone moved them to another panel. Therefore searching across all panels might assist you. Refine the search to try different criteria if necessary.

  2. Look in the Paused panelists panel.

Paused panelists are not active panelists and therefore will not come up in your searches for active panelists. To review paused panelists, you need to click in the Paused panelists panel.

  3. Look in the Unassigned panelists panel.

Panelists that are not included in any panels created by your organization and are not paused, and are not deleted, will be placed in the Unassigned panelists panel. Follow the workflow below to manage unassigned panelists.
If you still cannot locate your panelists, it could be that they were deleted. Feel free to contact our Support Team to assist you with reinstating deleted panelists.

Move Panelists Out of Unassigned Panelists Panel

The Unassigned panelists panel is a safety net that catches panelists who might accidentally get removed from all panels. Although such panelists are still active (they are not deleted nor paused), because they are not members of any panels that your organization created, they are not included in the panelist searches.

The only way you can find them is by going directly into the Unassigned panelists panel. Follow the steps below to locate unassigned panelists and move them to a panel of your choice.
  1. From the black ribbon at the top, select Libraries > Panelists .

  2. From the list of panels on the left, select Unassigned panelists.

  3. Select the panelists you wish to move. Use the Filter to assist you in panelist search if necessary.

  4. Select  Add/move/remove > Move to another panel.

  5. Choose the panel you wish to move the selected panelists into and click Add panelists.

The selected panelists will no longer be unassigned, and will instead gain membership to the panel you selected in the last step.
