Import Panelists - Panelists Set Their Own Passwords

Overview

When importing panelists, you have the option to let panelists set their own passwords, or you set the passwords for panelists. This workflow's focus is on importing "real" panelist information prompting those panelists to set their own passwords.

"Real" panelists are the actual people, such as employees, consumers, descriptive panelists, etc, whose information in your Panelists library is linked to specific individuals. The opposite of "real" panelists would be generic panelist logins, such as guest logins. These logins are also used by real people, but the records are not linked to specific individuals and are designed to be reused.

Import Real Panelists from a File

  1.  Prepare your panelist data in the file format compatible with our software. Use the example panelist import file found at the bottom of this page to guide you through the process.

    The file contains four columns:
    • Username - Required field . This unique identifier is what panelists need to enter in order to log into the panelist website.
      We suggest using panelist email address or another alphanumeric combination of characters that panelists can easily remember.

    • First Name - Optional field. Although optional, this can be useful information to include in your panelists records. If you choose not to import this information, remove the column completely.

    • Last Name - Optional field. Although optional, this can be useful information to include in your panelists records. If you choose not to import this information, remove the column completely.

    • Email - Required field. To be able to communicate with panelists from the software, the email needs to be included.
      Do not change the spelling of the column headers.

      Please maintain the .csv file format to be able to import panelists (i.e. do not save the file in a different file format). 
  2. In the Panelists library, select a panel in which you wish to import the panelists. If the desired panel does not exist, add a new panel first.

  3. On the right, select Import/export > Import panelists .


  4. In the Import panelists options screen, select import new panelists > Send email to panelists to create passwords > Next.

  5. In the Import panelists screen, click Browse and locate your panelist import file that you prepared in the first step. Click Open.

  6. Click Submit.

You will be provided with a message indicating whether your import was successful or not (please see examples below). You will also receive a copy of an email that your panelists will receive, for your records.

Once the import is complete, your panelists are ready to be added to tests . However, panelists will only be able to log into the panelist website if they have set their passwords.

To review the import and export history for the panel at any time, in the Panelists library, select the panel you are interested in, and on the right, select Import/export > Import/export history.


How Panelists Can Set Their Passwords

The panelists will receive an email with a message similar to this:


For security reasons, the password setup link expires 2 hours after being emailed to the panelists. When panelists click on the link before it expires, they will see something similar to this:


Notice that they will not be required to provide their Username as the link already contains that information and "knows" who they are. As they successfully set their password by meeting the minimum requirements displayed on the screen, they will be taken to the main panelist login page. On the panelist login page they can either log in and explore, or close the page down.

If Things Don't Work as Expected

If the panelists click on the password setup link after it expired, the panelists will see something like this:


If panelists contact you with this issue, please instruct the panelists to click the "login page" link, as seen in the above image, and set their password by following the prompts. They will have to know their Username , which you can provide to them if you have not done so already.
